ITAM / Devices

Bulk Actions

Update status or retire devices in batch after a refresh wave, so Carlos doesn't click through forty Sales laptops one by one.

Real-world scenario

Carlos Reyes · IT Admin at Bluewave Labs

Bluewave Labs replaced eighteen Sales laptops in June. Carlos filters the old Dell Latitudes, bulk-sets them to Inactive, and leaves Engineering's fleet untouched.

Before you begin

  • ITAM access to Physical Assets → Devices
  • Permission to edit or delete devices

Overview

Bulk actions save time when the same change applies to many devices, retiring a refresh wave, marking repair queue items as Maintenance, or cleaning up duplicate imports. Always filter first, then select, then confirm. Bulk delete is irreversible and may unlink asset tickets without deleting the tickets themselves.

Step-by-step

  1. 1

    Filter the device list first

Narrow to the batch you mean to change, e.g. Status = Maintenance and Type = Laptop for every Dell waiting on keyboard repairs after audit week.

  2. 2

    Select devices with checkboxes

Pick individual rows or use select-all on the current page. Filters apply before selection so you don't accidentally grab the whole fleet.

  3. 3

    Choose Update Status or Delete

Update Status sets Active, Inactive, or Maintenance for every selected device. Delete removes records permanently, use only for duplicates or data-entry mistakes.

  4. 4

    Confirm the action

WorkVerge shows how many devices will change. Review the count. Carlos double-checks when retiring a full Sales refresh wave (often 15–20 laptops).

Available actions

  • Update status. Set Active, Inactive, or Maintenance for all selected devices. Carlos uses this after quarterly audit to Inactivate hardware sent to recycling.
  • Delete. Remove selected devices from WorkVerge. Linked tickets stay but lose the device link. Use for duplicates or test records, not for normal retirement (prefer Inactive).

Example batch

Bluewave Labs: Sales refresh cleanup

  • Filter: Type = Laptop · Tags contains sales-2025 · Status = Active
  • Selected: 18 Dell Latitude 5430 devices
  • Action: Update Status → Inactive
  • After: Compare Engineering Laptops vs Sales Laptops asset groups to confirm Sales fleet shows only 2026 hardware

Delete vs Inactive

Prefer Inactive for retired hardware, you keep history for audits and finance. Delete only when the record never should have existed. After a bulk status change, run Compare Asset Groups to verify fleet counts match Maya's report.
