ITAM / Asset Groups

Compare Asset Groups

Diff Engineering vs Sales laptop fleets in minutes, find overlap, exclusives, and audit gaps before Maya signs off on the quarterly report.

Real-world scenario

Carlos Reyes · IT Admin at Bluewave Labs

Before the Q2 laptop audit, Carlos compares Engineering Laptops to Sales Laptops. Three MacBooks appear in Sales-only, turns out they were tagged wrong after a desk move. He fixes assignments and re-runs Compare until overlap is zero.

Before you begin

  • ITAM access to Physical Assets → Asset Groups
  • Two asset groups already created with members

Overview

Compare puts two asset groups side-by-side so you see shared members, assets exclusive to each group, and coverage gaps. Carlos uses it every quarter when reconciling Engineering vs Sales fleets, and again after onboarding batches like Sophie's MacBook cohort, to make sure group membership matches reality before audit walk-throughs.

Step-by-step

  1. 1

Open ITAM → Physical Assets → Asset Groups

Choose Compare from the groups toolbar or open compare after selecting two groups from the list.

  2. 2

Select Engineering Laptops and Sales Laptops

Pick the two fleets Carlos maintains, or any pair you need for audit, refresh, or compliance reconciliation.

  3. 3

    Review overlap and unique members

Overlap shows devices in both groups (should usually be empty for department fleets). Left-only and right-only highlight exclusives and gaps.

  4. 4

    Apply filters to narrow results

Filter by device type, status, or workplace, e.g. Active laptops at SF HQ only during the quarterly audit.

  5. 5

    Act on discrepancies

Add missing MacBooks to Engineering Laptops, remove mis-tagged devices, or export the diff for Maya's report.

Reading results

  • Overlap. Assets in both groups. For department fleets this should usually be empty; overlap often means a mis-tagged device or duplicate group membership.
  • Left only. Assets in the first group but not the second (e.g. Engineering-only MacBooks).
  • Right only. Assets in the second group but not the first (e.g. Sales-only Dells, or mis-assigned MacBooks Carlos needs to fix).

Pair with QR audit

After Compare shows discrepancies, Carlos fixes records in Edit Device, re-runs Compare, then verifies on the floor with Audit Mode.

Example comparison

Bluewave Labs: Engineering Laptops vs Sales Laptops (Q2 audit)

  • Engineering Laptops: 58 members
  • Sales Laptops: 34 members
  • Overlap: 0 (expected)
  • Right only (initial run): 3 MacBook Pro 14". assigned to Sales reps after org shuffle
  • Carlos fix: Reassign to Engineering · add to Engineering Laptops group · re-compare → clean diff
  • Filter used: Type = Laptop · Status = Active · Workplace = SF HQ

Sophie Park onboarding check

  • After add-device: Sophie's MacBook in Engineering Laptops only
  • Compare vs Sales Laptops: Appears under left only · not in right only
  • QR audit: Scan confirms serial C02XL9ABCD1 on SF HQ floor 3
