Vendor Management

Keep every SaaS contract, renewal date, and invoice in one place so Maya can answer finance before Notion auto-renews again.

Real-world scenario

Maya Chen · IT Manager at Bluewave Labs

Bluewave Labs runs Notion, Slack, Figma, and a dozen other SaaS tools across Engineering and Design. Maya needs renewal dates, MRR totals, and team ownership visible before the Notion subscription renews next month.

Before you begin

  • ITAM license enabled for your organization
  • Admin or vendor manager role with access to Vendor Management

Overview

Vendor Management lives under ITAM → Vendor Management. Each vendor record tracks type, team assignment, billing contacts, and one or more subscriptions with dates, pricing, and invoices. The overview dashboard surfaces MRR, health scores, upcoming renewals, and spend by team, exactly what Maya needs before quarterly budget reviews.

For example

WorkVerge tracks Notion (SaaS, Engineering + Design, $960/yr), Slack (SaaS, company-wide), and Dell (Hardware, IT team). Carlos adds vendors and subscriptions; Maya reviews renewals and approves spend from the overview dashboard.

What you can do

Renewals at a glance

The vendor overview shows subscriptions renewing in the next 30, 60, and 90 days. Check Notion and other auto-renew tools before the charge hits, not after finance flags the line item.

Getting started

If you are setting up Vendor Management for the first time at Bluewave Labs, start here:

  1. Add your first vendor (e.g. Notion) with type, team, and billing contact
  2. Add a subscription with start/end dates, price, and billing cycle
  3. Upload the latest invoice from the subscription detail view for audit trail
  4. Confirm upcoming renewals appear on the vendor overview dashboard before renewal season
