Bulk Actions

Archive inactive vendors or update status in batch after Maya's annual SaaS cleanup, without editing records one by one.

After consolidating three deprecated design tools into Figma, Maya filters inactive trials, selects five vendors, and bulk-archives them so they stop appearing in renewal reports while preserving history.

Before you begin

  • Admin or Owner role (Managers and Employees cannot bulk edit)
  • Vendor list with multiple records to update

Overview

Bulk actions let Admins and Owners update or remove multiple vendors at once. Use bulk status updates when Maya archives expired contracts; use bulk delete only when records should be permanently removed, including linked subscriptions.

Bulk status update

    Open ITAM → Vendor Management

    Use filters to narrow the list, e.g. status Active and type SaaS for a renewal cleanup.

    Select vendors with checkboxes

    Check each row you want to update. Use the header checkbox to select all on the page.

    Choose Update Status from bulk actions

    Pick Active, Inactive, or Archived. Maya archives vendors after contracts end.

    Confirm the bulk update

    All selected vendors change status at once. Subscriptions remain unless you delete the vendor.

Bulk delete

    Select vendors to remove

    Only choose vendors you are sure are obsolete, deletion is permanent.

    Choose Delete from bulk actions

    WorkVerge asks you to confirm. Linked subscriptions and invoices are removed with the vendor.

    Confirm deletion

    The vendors disappear from the list and employee portal immediately.

Deletion is permanent

Bulk delete removes vendors and their subscriptions. Prefer archiving to Inactive if Maya might need spend history for last year's audit.

  • Filter: Status Active, Type SaaS, Team Design
  • Selected: OldTool A, OldTool B, OldTool C (3 vendors)
  • Action: Update Status → Archived
  • Result: Removed from renewal dashboard; Notion and Figma unchanged
