My Organization

Automation Workflows

Stop manually emailing Carlos every time a domain expires in 30 days, automate ITAM, ITSM, and DEX reactions from one builder.

Real-world scenario

Maya Chen · IT Manager

Last quarter Maya missed a `staging.workverge.ai` renewal because the reminder lived in someone's inbox. She builds an ITAM workflow: domain expiry ≤ 30 days → email Carlos + Slack #it-alerts.

Before you begin

  • Admin access to My Organization
  • Background workers running in your deployment

Overview

Automation Workflows listen for platform events, asset created, ticket opened, survey submitted, and run actions without someone watching a spreadsheet.

For example

Trigger: Domain expiry ≤ 30 days → Actions: email Carlos, post to #it-alerts, create ITSM task for renewal.

Create a workflow

  1. 1

    Open Automation Workflows

My Organization → Automation Workflows. You'll see ITAM, ITSM, and DEX tabs.

  2. 2

    Pick the product tab

Filters triggers to what you care about, domain expiry vs ticket SLA vs survey response.

  3. 3

    Create or duplicate

Start from scratch or clone Maya's "Domain 30-day warning" template.

  4. 4

    Set trigger and actions

When X happens, send email, change status, or notify a Slack channel.

  5. 5

    Test on canvas

Open the workflow editor and walk through nodes before activating.

  6. 6

    Configure email templates

Match tone to company branding from org config.

  7. 7

    Activate

Flip on, workers pick up matching events within minutes.

Product tabs

  • ITAM. Domain expiry, device assignment, vendor renewals
  • ITSM. Ticket status changes, SLA breaches, deployment completion
  • DEX. Survey responses, onboarding triggers, low response rates

Legacy workflows

The older builder remains for existing automations. New work should use Automation Workflows, see Workflows for the comparison.

Workers must be running

If jobs queue but never fire, check that workers are active in your deployment, automations don't run in the UI thread alone.
