How to Add Inventory

Create inventory types before hardware arrives so Carlos can register Sophie's MacBook in one pass, not invent categories on onboarding day.

Eight Engineering hires start next week, all MacBook Pro 14". Carlos adds the inventory item today with the Apple icon so Monday onboarding is add-device only.

  • Agreed type slugs (laptop, monitor, etc.) for your org

Overview

Inventory items are templates, not individual serial numbers. They define what appears in the device type dropdown, how stat cards group your fleet, and which icon shows on inventory cards. Create items before a refresh wave or hire class so Carlos and the team pick consistent types when comparing Engineering vs Sales hardware.

Step-by-step

    Open ITAM → Physical Assets → Inventory

    Card view groups items by type, laptop, monitor, mobile. Confirm MacBook Pro 14" isn't already listed before creating a duplicate.

    Click Add Inventory

    The form opens on the right. Use a name your team recognizes when picking device types later.

    Enter name and select type

    Name is the model label (MacBook Pro 14"). Type is the category slug, laptop, monitor, mobile, that powers filters and stat cards.

    Add manufacturer, OS, and icon (optional)

    Set Apple, macOS, and icon slug apple for card display. Icon slugs often come from Simple Icons.

    Set workplace and status

    Default workplace is optional. Set Active for models you deploy today; Inactive for retired Sales SKUs you keep for history.

    Click Add or Create

    The item appears in Inventory and immediately shows up in the device type dropdown when Carlos adds Sophie's MacBook.

Device types dropdown

The type you set here is what Carlos selects when adding Sophie's device. Keep type = laptop across MacBook and Dell items so device filters and asset group comparisons stay aligned.

Required & optional fields

Required

  • Name. Display name (MacBook Pro 14", Dell Monitor 27")
  • Type. Category slug: laptop, desktop, monitor, mobile, accessory, etc.

Optional

  • Manufacturer. Apple, Dell, LG
  • Operating system. macOS, Windows 11
  • Workplace. Default location for items
  • Icon slug. Brand icon on cards (Simple Icons naming)
  • Status. Active or Inactive
  • Description. Notes for your team
